Director or Staff Inquiries
President
The President has the following responsibilities:
- The general management and supervision of the affairs and operation of the Association.
- Ensure that all Board members are aware of their responsibilities.
- Be the chairperson at all meetings of the Board, annual general meetings, general meetings, and special meetings.
- Ensure that the Board members and chairpersons of all committees are aware when and where upcoming Board meetings will be held.
Vice-President
The Vice-President has the following responsibilities:
- Assist the President in any way possible.
- In the absence or incapacity of the President, assume the President’s responsibilities.
Secretary
The Secretary has the following responsibilities:
- Keep a copy of all Board and committee meetings for the Association’s records. Pass them on to the successor.
- Make all previous minutes available to the membership at annual general meetings.
- Take minutes of Board meetings.
- Publish the minutes of Board and committee meetings as directed by the bylaws, regulations, and Board decisions.
- Keep the Association’s corporate seal secure.
- Ensure that the Board members and chairpersons of all committees are aware when and where upcoming Board meetings will be held.
- In conjunction with the Bylaw Committee, ensure that the Karate Alberta Policy document is kept up to date as a result of ongoing changes made by the Board, committees, or the Association membership.
- The Secretary shall maintain a current list of all committee members, including their position, if any.
Treasurer
The Treasurer has the following responsibilities:
- Keep full and accurate accounts of the financial state of the Association. Pass them on to the successor.
- Maintain a list of assets owned by the Association. Pass the list on to the successor.
- Regularly report the financial status to the Board at its meetings.
- Report the accounts to the membership at annual general meetings. The report shall include a statement of all income and expenses, a balance sheet, and a listing of all cheques issued, to whom they were issued, and for what.
- Arrange for the auditing of the financial statements each year.
- Promptly deposit any monies received and keep a record of where it came from and what it was for.
- Promptly disburse any monies and keep a record of where it went and what it was for. Ensure that all expense claims are legitimate and in the interests of the Association. Seek clarification from the Board when in doubt.
- Be the key person responsible for the creation of the annual budget and ensure that the Board, committees, and Association members follow the budget. The budget may be revised but only with approval of the Board, and potentially the Association membership.
- Plan for the long term financial health of the Association.
Membership Officer
The Membership Officer has the following responsibilities:
- Keep accurate records of all members of the Association, both clubs and individuals. Keep records of which clubs are probationary. Pass these records onto the successor.
- Regularly report membership information to the Board at its meetings.
- Report membership information to the membership at annual general meetings.
- Verify that applications received are not for a previously expelled club or individual.
- Provide membership applications forms to new and renewing clubs when requested.
Directors
All Directors, whether elected as voting Directors or as appointed non-voting Directors, shall have the following responsibilities:
- Assist the Board in any way possible with its responsibilities.
- Carry out any specific responsibilities when they are assigned.
