PURPOSE OF ROLE:
Karate Alberta (KA) is looking for a take charge candidate with the ability to manage administrative tasks and event logistics as it pertains to KA team events. Team events, as it pertains to these positions, currently includes but, will not be limited to: Team Training Team Camps Team Clinics 2020 Junior National Championships 2020 Senior National Championships
POSITIONS AVAILABLE: 1 position or 2 positions
START DATE: Immediately
TERM: 2019-2020 Competitive Season
PROSPECT TEAM TRAINING INCLUDING CAMPS, CLINICS & TRAINING SESSIONS:
- Team prospect / tournament points – update drop-box
- Collect fees for all training sessions – document/updated drop-box
- Forward collected fees to Treasurer with support/reconciliation. Update drop-box
- Give Head Coach and Treasurer attendance and reconciled revenue/support from drop-box
- Gather receipts from the Treasurer and distribute them back to membership
2020 JUNIOR & SENIOR KARATE CANADA NATIONAL CHAMPIONSHIPS:
- Follow information from Karate Canada Bulletin Compilation of proposed budget
- Complete/submit documentation to AGLC for use of funds approval
Athlete Equipment for both the 2020 Junior and Senior Karate Nationals Event Including:
- Track Suits – working with coaching team and board of directors on pricing & measuring ordering for each athlete and coaching team member; as required
- KA Team Crests – ensuring each athlete has ample supply
- Travel/Equipment Bag – working with coaching team and board of directors on pricing & ordering for each athlete and coaching team members; as required
- E-mail communication and tracking of signed ‘2020 Karate Canada National Championships waiver/medical permissions package.
- Athlete/team training attendance – update drop-box
- Clinic attendance – update drop-box
Athlete communication and required paperwork for 2020 National Karate Championships Including:
- Completed application forms and payment
- Athlete photo in track suit – used for 2020 Nationals accreditation’s and uploaded to drop-box
- Gather receipts from the Treasurer and distribute them back to membership
- Gather/compile all athlete details; including event kata or kumite, age at Nationals and weight
- Reconciliation of fees to treasurer with support
- Registration of all athletes, coaches, officials as required
- Complete 2020 Karate Canada National Championship registration spreadsheet
- Sport data management; registration of all athletes and coaches; working together with Karate Canada
Booking of athlete and coaching team travel arrangements Including:
- Book flights for team members, officials and designated board members
- Complete and distribute the KA President letters for school /employment leave
- Book hotel accommodations for team members, coaches, officials and designated board members
- Shuttle bus arranged to and from the airport
- Team meals/arrangements at the hotel (as requested by Head Coach)
OTHER DUTIES:
- Check/replenish First Aid kit
- Compile the video schedule for events
- Athlete rooming allocations/arrangements
- Volunteer hours tracking for 2019/2020 Prospect/Team Selection
- Registration table and presence at each team training, camp, PQ tournament and clinic
